Dashboard and Reporting Guide

This guide provides an overview of the core real-time dashboards available in AidKit, what they track, and how they can be filtered or interpreted.

💡These dashboards are designed to give both real-time visibility and export-ready insights into application trends, participant demographics, eligibility, support, and payment operations. Dashboards will are exportable (as a CSV) and can be filtered to allow for cross-sectional analysis.

Key Application Stats Dashboard

Purpose:

To provide a high-level view of the overall applicant pool. Use this dashboard to quickly assess participation trends and demographic representation across the program.

Metrics Included:

  • Total number of applications submitted

  • Submission progress over time

  • Applicant demographic breakdowns such as:

    • Race & ethnicity

    • Gender

    • Language preference

    • Geographic location (e.g., zip code or county)

Application Summary Dashboard

Purpose: To visualize how applicants answered each question in the application. Ideal for sharing with partners or funders to demonstrate response patterns and participant preferences.

Features:

  • All multiple-choice responses are shown as pie charts or bar graphs

  • Includes filters for key variables like:

    • Submission status (e.g., Submitted, Incomplete)

    • Demographics (race, age, income bracket)

Applicant Verification State Dashboard

Purpose:

To track the review and verification status of all applications. Use this dashboard to monitor progress through the review pipeline and evaluate equity in processing by demographic filters.

Application States Tracked:

  • Submitted

  • In Review

  • Approved

  • Denied

  • Ineligible

Filters (up to 5 variables max):

  • Any AidKit-collected field, such as:

    • Race

    • County

    • Gender

    • Reported income

    • Language preference

Applicant Eligibility Summary Dashboard

Purpose: To provide a filterable table of eligibility results, including criteria and demographic data. Great for program evaluation, assessing patterns in ineligibility, and segmenting outreach or engagement by applicant characteristics.

Features:

  • Filter by application status (e.g. submitted, in review, eligible)

  • Columns include:

    • Eligibility results for each criteria

    • Reported household income

    • Address / zip code / region

    • Race / ethnicity

    • Number of children

    • Language

    • Gender identity

Support Dashboard

(Only available if using AidKit’s Integrated Support Portal)

Purpose: To track support ticket volume and resolution metrics. This dashboard helps evaluate participant experience and internal support team efficiency. Useful for identifying operational bottlenecks or communication gaps.

Key Metrics:

  • Total number of support tickets opened

  • Response times and average resolution time

  • Common themes or issues by topic

  • Ticket status (open, pending, closed)

  • Support engagement by applicant demographics

Payments Dashboards

Purpose: To monitor funding flow, approvals, and disbursements. This dashboard supports internal finance, compliance, and reporting needs. It’s also helpful for reconciling funds disbursed against participant status and payment method (bank transfer, mailed card, virtual card).

High-Level Payment Metrics

  • Participant Counts

    • Total # of participants selected, enrolled, or approved for payment

    • Total # of participants eligible for payment (if separate enrollment process)

  • Financial Overview

    • Total Funds Committed (Pending + Complete)

    • Total Funds Disbursed (Complete)

    • Total Funds Available (current balance minus pending + complete)

  • Payment Method Overview

    • Pie chart: Distribution of payment method selections

    • Hero counters: Payment issued counts (e.g. “Payment 1 issued: X”, “Payment 2 issued: Y”)

  • Payment Status Tables

    • Per-applicant summary:

      • Columns: Legal name, payment type, date enrolled, total paid

    • Per-payment summary:

      • Columns: Payment name, proposed, pending, complete, failed, cancelled

Payment Management & Error Resolution

Action Required by Staff Table

  • Applications with:

    • Bank account name mismatches

    • Duplicate bank accounts

    • Auto-retry payment failures (outreach needed)

Corrections Required Tables (Auto-Retry / Manual Fixes)

  • Consolidated table of:

    • Failed or cancelled payments

    • Missing or incomplete disbursements by applicant

    • Associated issues that halted payments

  • Bank Account Name Review Table:

    • Includes match score thresholds and override fields

Mailed Cards

  • Cards Pending Delivery

  • Delivered Cards

Card Pick-Up (In-Person)

  • Hero Counts:

    • Pending Card Pick-Up

    • Completed Card Pick-Up

  • Pickup lists and filterable tables

Transaction Details Table

  • Full searchable table of all payment transactions, including:

    • Amount

    • Payment method

    • Date

    • Status

    • Participant name / ID (Reference: IRC transaction details dashboard)
